Volunteer Administrator

We're a small team, mostly made up of part-time staff. But we're absolutely committed to providing the best service we can. By providing admin support, you help to free our staff to spend more time supporting carers.

The Role

A Volunteer Administrator supports our team with tasks such as:

  • Data entry
  • Filing
  • Internal communication
  • Answering telephone and online enquiries
  • Office reception duties
  • Ordering stock
  • Keeping our website and social media up to date

If you've got a particular area of expertise that you think would be useful or a skill you'd like to develop, that could also be part of your volunteer role. We're open to discussing how we can use your skills or interests to support the charity and give you the best volunteering experience we can.

Skills

A Volunteer Administrator helps us to manage personal, financial and business information. While we want to help our volunteers to personally develop, there are a number of skills and qualities that are required to carry out this role.

  • Honest and trustworthy: you could be dealing with personal or sensitive information about carers, their families or our charity
  • Good IT skills: you'll be using email, Microsoft Office, our electronic recording and filing systems, website and social media, and ordering products online
  • Attention to detail: You'll be dealing with important information that needs to be recorded accurately
  • Reliability and good time keeping: our team will be planning some of their work around the support that you provide
  • Good communication skills: you'll have to pass information between staff teams, carers and other professionals
  • Friendly: you'll be answering the phone and speaking to people visiting our centre, so a friendly attitude is very important
  • Willing to share ideas: we're always trying to improve the work that we do. If you've got an idea for how we can do things better, we'd like to hear it, especially if it's something you have experience or expertise in

Details

  • Accessibility
We have an accessible entrance and an accessible toilet. One office is up a flight of stairs but is not essential to this role.
  • Age restrictions
  • Equal Opportunities Policy
  • Expenses reimbursed
We provide travel and refreshment expenses.
  • Ongoing support
Day-to-day guidance is given by the senior member of staff responsible for the team in which the volunteer is based. The Business Development Manager also provides overall support to volunteers which can include group and one-to-one meetings and planning sessions.
  • Training provided
We provide a range of in-house training around carers and disability that volunteers are welcome to access as well as the free training available across the local sector. As a member of the Carers Trust network, there’s a national Knowledge Hub that our staff are able to access as well as occasional online training opportunities. We understand that many people volunteer to develop their own skills and knowledge. We discuss this with volunteers when they join us and will try to build this into the volunteering experience where it is relevant to the volunteering role.
  • Volunteer induction
We provide an induction that introduces volunteers to our staff team, our building, the community that we support, the services that we offer and our internal systems. During induction, volunteers are expected to read the policies relevant to their role. Training around the role that volunteers carry out is also given by the member of senior staff responsible for that work or team.
  • Volunteers covered by insurance
All volunteers are covered by Carers Trust ’s Employer’s Liability Insurance and Group Personal Accident Insurance policies whilst they are on the premises and/or engaged in work on Carers Trust ’s behalf
